Job Title Front Office Administration Status Full-Time, Non-Exempt Compensation Pay rate based on qualifications, and experience Reports To Director of Ministry Operations
Overview The Front Office Administrator performs administrative and office support duties, which may include fielding telephone calls, receiving and directing visitors, word processing, and filing. They will have day to day ownership of front office duties. Must be proficient in Microsoft Office knowledge, internet research abilities and strong communication skills are required. The Front Office Administrator will be required to at times rapidly assess problematic situations and handle conflict resolution. They will also have input in some community Case Management.
Essential Functions • Complete daily logs & document any incidents that transpire throughout the day. • Reporting maintenance issues. • Check & file mail. Hand out mail to the community guests & Facilitate donations. • Maintain a safe & clean environment for Community Center guests & Staff. • Attend weekly meetings with Ministry team. • File client forms. • Ownership of the phone extension list (accuracy and updates being communicated to the team). • Ownership of all office supply orders, copier supplies. • Ownership of Shred-it bin pickups. • Ownership of breakroom cleanliness and organization. • Ownership of décor and hospitality of the community center (holiday decorating and cohesiveness/professionalism in appearance of the office). • Ownership of keeping all brochures and materials up to date at the front office. Ownership of communicating events and activities to the public (including an accurate event calendar). • Ownership of small projects for Director-level staff with the approval of direct supervisor (ex: laminating, organizing files, etc.). vrmhope.org • Some Case Management of Community walk-ins. • Outreach to other agencies to further build client relations & resources. • Mandated reporting to Manager and Supervisor of any incident or suspected incidents against children
Qualifications • 1-2 years’ experience in relevant field (preferred). • Proficient in Microsoft Office. • Excellent written and verbal communication skills. • Personable and professional customer service demeanor. • Ability to manage and prioritize multiple tasks with accuracy. • Good research skills and attention to details.

Physical Demands • Ability to operate standard office equipment. • Ability to complete significant amounts of computer screen work and entry without restriction. • Ability to lift moderate supplies, walk the campus, stand, or sit for extended periods of time.
Environmental Conditions: • Indoors in typical office environment with little exposure to excessive noise, dust, fumes, vibrations, and temperature changes approximately seventy-five percent (75%) of the time. • Frequent use of computer at workstation up to eight hours at a time. • Frequently work at fast pace with unscheduled interruptions. • Responsibilities may require an adjusted work schedule, overtime, and evening/weekend hours in order to meet deadlines. • May move (walk or drive) from one work location to another occasionally.
Compensation: • Pay is based on experience. • Health benefits following 60 days of continuous employment. (Full-Time Employee’s ONLY) • CalSavers option is available after 30 days of continuous employment
